Position Overview:

Southwestern University has an immediate opening for an Administrative Assistant. This position will report to the Associate Vice President for Academic Affairs. The Administrative Assistant-Faculty position provides administrative support for all Mood-Bridwell Hall faculty and staff as well as building operations support. This is a full-time, 12-month, non-exempt position eligible for our comprehensive benefits program.

Essential Duties:

  • Administrative and general clerical support: Provide faculty assistance with administrative tasks (word processing, filing, Moodle support, photocopying, room reservations, supply procurement, contract preparation, etc.) as well as special one-time and recurring projects such as faculty searches, departmental reviews, student travel, capstone presentations, and guest speakers, etc.

  • Building operations management for Mood-Bridwell Hall: Serve as the Emergency Action Representative (EAR) and the primary point of contact for room reservation requests/approvals, Facilities Management work orders for common spaces, photocopier support, and student access to lab spaces (if applicable).

  • Academic Affairs special event/project planning and coordination: Provide administrative and logistical support for special events/projects such as Brown Symposium from start to finish to include organizing, promoting, and executing the event/project and all of the elements therein (travel arrangements, catering orders, contract preparation, budget management, etc.).

  • Student Workers: Hire, train, and supervise student workers that provide support for the administrative assistant and the building faculty.

Additional Duties:

  • Support additional events and projects, or assist other staff with administrative responsibilities as approved or assigned by the Office of Academic Affairs
  • May serve as an advisor to a student organization, with supervisor approval.
  • May serve on campus committees, as assigned or elected, with supervisor approval.
  • Perform duties as assigned.

Minimum Qualifications:

  • Educational:
  • High School diploma or equivalent.
  • Job related experience and skills:
  • At least three years office/clerical experience.
  • Prior experience using computers and software including demonstrated ability to learn new software, identify new tools, and apply tools to processes.
  • Prior experience with budget management and related processes.
  • Excellent oral, written, and interpersonal communication skills.
  • Excellent organizational skills with a keen attention to detail.
  • Proven ability to work independently in a fast-paced and demanding environment, exhibiting flexibility in times of competing priorities.
  • Possess the applications of tact, diplomacy, sensitivity, and confidentiality.
  • Experience in customer service (in person and electronically).
  • Knowledge, understanding, and acceptance of cultural differences and the diversity within the campus and community.

Preferred Qualifications:

  • Some college experience.
  • Five years office/clerical experience.
  • Experience working in a college/university environment.
  • Event-planning experience.
  • Web design and desktop publishing experience.
  • Demonstrated skills in software platforms used at Southwestern, including but not limited to Google Suite for Education, Microsoft Office, Adobe CC, Adobe Sign, Concur, and Interfolio Faculty Search.

Starting annual salary: $19.26 per hour. The final offer for the successful candidate will be commensurate with experience and may exceed the starting hourly rate.
